Conflict Check Party List Extractor

The moment a prospective matter comes in, before anyone gives substantive advice, so the conflicts search runs on a complete list instead of only the names someone remembered to type.

A conflicts check is only as good as the list of names you search. Intake notes are written in a hurry, clients describe adversaries by nickname or role, and the complaint that arrives later names an insurer, a parent company and opposing counsel that never made it into the intake form. A missed name at intake can mean a disqualification motion or a forced withdrawal months into the matter, so the first step of the intake-to-engagement chain deserves a systematic pass.

This prompt reads whatever intake material you paste and returns one table of every person and entity mentioned, with search variants, the party's role, whether it is adverse or aligned, and the exact text it came from. It keeps unnamed references such as "her former employer" in a separate list so the intake team knows what to ask, and it closes with relationships that need a lawyer's eye, such as a witness who may become a party or a related entity whose position is unclear.

Claude does not have access to your conflicts database and does not decide whether a conflict exists. It extracts names from text, and it can only find names that are in the text. The responsible attorney still runs the search, evaluates every hit, decides whether a conflict is waivable and documents the result under the conflicts rules of your jurisdiction. Treat the list as a draft for attorney review and add any names you know from outside the documents.

Using only the document above, build a conflicts-search list of every person and entity it mentions. Cover: the prospective client and any affiliates named; adverse parties; parents, subsidiaries, owners, officers and directors named; insurers and sureties; co-parties; key witnesses; opposing counsel and their firm; lenders, guarantors, landlords and other interested non-parties.

Rules:
- Quote the text where each party appears. Do not add any party the document does not mention.
- Build search variants only from the name itself: with and without entity suffixes, abbreviations, d/b/a forms, initials, maiden or former names if stated, and likely misspellings. Do not guess at corporate family members.
- If the document refers to someone who is not named (for example "her employer" or "the landlord"), list it under "Unnamed parties to identify" with the quote.

After the table, add:
1. Relationships needing a closer look: unclear roles, people who could be both witness and party, related entities, and anyone whose alignment could change as the matter develops.
2. Missing information the intake team should collect before the search is complete.

Tips

  • •Paste the complaint or demand letter along with your intake notes. Pleadings name insurers, co-defendants and counsel that clients forget to mention.
  • •Run the search variants column through your conflicts system exactly as written, including the versions without entity suffixes. Missed hits usually come from formatting differences, not unknown parties.
  • •Keep the instruction not to infer corporate families. If an affiliate matters, research it separately and add it by hand so every name on the list has a source.
  • •Limit what you collect from the prospective client to what the conflicts check needs. Information from a prospective client can create duties even if you decline the matter.
  • •Treat the output as a draft for attorney review. The conflicts decision, including any waiver analysis, stays with the responsible lawyer, and any conflicts rule you cite in the file memo must be verified against your jurisdiction's current text.

Frequently Asked Questions

Can Claude run the conflicts check for me?

No. Claude does not connect to your conflicts database and does not decide whether a conflict exists. It builds the search list from the documents you paste, with spelling and entity-suffix variants so your search catches more hits. Your conflicts system and the responsible attorney do the actual check, evaluate every hit and decide whether the matter can be accepted or needs a waiver.

Why does the prompt refuse to guess at parent companies and affiliates?

Because a guessed affiliate is worse than a missing one. If Claude invents a corporate relationship from memory, your team may clear a matter against the wrong entity or waste time chasing a name that has no connection to the case. Every row in the table carries a source quote. If an affiliate matters, look it up in a reliable source and add it yourself.

Is it safe to paste a prospective client's intake notes into Claude?

Treat it like any other confidential client information. Information from a prospective client can create confidentiality duties even if you never take the matter. Use a Claude plan with data protections that match your firm's AI policy, paste only what the conflicts check needs and remove sensitive identifiers such as Social Security or account numbers that the search does not require.

What should I paste if all I have is a phone intake?

Paste your call notes as they are, including role descriptions such as "the general contractor" or "his business partner." The prompt lists unnamed references separately, which gives your intake team a short follow-up script. Run the prompt again once the complaint, demand letter or contract arrives, because those documents usually add insurers, counsel and related entities.
